Tips & Tricks for Online Business Calls

August 18, 2020 By Olesia Ulianova

Getting Ready for the Call

There are many reasons to call abroad, but the first step is to prepare your vocabulary and professional jargon.
🔹 Review English-language materials from your industry.
🔹 Read one relevant article every day to expand your vocabulary.
🔹 Check previous communication history with your contact.

Numbers matter! Practice recognizing and writing them down correctly — a single zero can make a huge difference.

Refresh your knowledge of modal verbs (could, would, may, might) — they make your speech sound polite and professional.

Before the call:
✅ Prepare a short meeting plan.
✅ Test your tech setup.
✅ And most importantly — smile. Your tone instantly becomes friendlier.

👋 Greetings

For business partners:

“Good morning, Mr. Smith.”
“It’s great to speak with you again.”

For colleagues:

“Hi, John! How are you today?”

📞 Asking for the Right Person

“May I speak to Mr. Brown, please?”
“Could you transfer me to the marketing department?”
“I’d like to speak with Anna about the project timeline.”

⏳ Putting Someone on Hold / Transferring

“Please hold for a moment.”
“I’ll transfer your call now.”
“One second, let me check if she’s available.”

❓ When You Don’t Understand

Accents vary — don’t be afraid to ask again:

“Sorry, could you repeat that, please?”
“Would you mind speaking a bit slower?”
“Could you please spell that for me?”

Clarifying names or company titles is standard business etiquette.

👋 Saying Goodbye

English goodbye phrases use rising intonation:

“Nice talking to you!”
“Have a great day!”
“Speak soon!”

🚫 Don’t Call Without Warning

Unlike phone calls, Skype requires prior agreement.
Before calling, send a quick message:

“Hi! Are we still good for our call?”
“Just checking if now is a good time.”

💬 Don’t Expect Instant Replies in Chat

Skype is not designed for instant business conversations.
Confirm a specific time for written discussions.
Otherwise, long messages may go unanswered.

✍️ Follow Business Communication Rules

  • Avoid sending multiple one-word messages.
  • Write in full, clear sentences.
  • Use connectors: however, therefore, in addition to, thus.
  • Emojis are acceptable only if your relationship allows informality.

🎥 Mind Your Background and Eye Contact

Your cat or favorite posters shouldn’t join the meeting.
✅ Keep the background neutral.
✅ Ensure good lighting.
✅ Dress professionally.
✅ Look at the camera, not the screen.

💡 Bottom line:
Effective Skype communication is about clarity, preparation, and professionalism — with just a touch of warmth in your voice.
